WE’RE HIRING: OPERATIONS ASSISTANT 

We’re looking for a creative and organized Operations Assistant who will work directly with the CEO/Founder to help keep the business running smoothly. This person should have strong written and verbal communication skills, be excited to steward many different tasks at any given time, and be a collaborative team member. They should also have the ability to be proactive by seeking opportunities for improvement and proposing solutions. 

As our Operations Assistant, you’ll be responsible for:

  • Keeping the CEO/Founder on track with weekly, monthly, and quarterly agendas and taking initiative to offer feedback that ensures the most pressing tasks and deliverables are completed in a timely manner;

  • Scheduling and maintaining the CEO/Founder’s calendar and using discretion to ensure her time is well utilized;  

  • Managing general business inbox, organizing and sending emails, and drafting correspondence with clients and other external partners; 

  • Plugging in client numbers for analytics tracking and reporting and beginning report drafts for CEO to complete;

  • Researching beauty and wellness industry trends;

  • Drafting, reviewing, and executing client service agreements;  

  • Creating, sending, and managing client invoices;  

  • Supporting client on-boarding and off-boarding processes;

  • Sending client invoices to CEO’s CPA for tax filing within 5 days of client payment;

  • Tracking key success indicators to ensure company is on track to meet its goals;  

  • Researching, prioritizing, and following up on incoming issues and concerns addressed to the CEO/Founder and assessing the appropriate course of action, referral, or reply;  

  • Routinely scheduling and publishing posts within our membership and other programs/offers;

  • Reviewing documents for grammatical errors, typos, and formatting needs;  

  • Organizing and maintaining the digital filing system;  

  • Upholding the company’s mission and values through accountability, creativity, collaboration, and understanding.

ESSENTIAL MUST-HAVES FOR THIS ROLE:

  • Ability to demonstrate proficiency in the required skills for this role;  

  • Dependability to perform duties with integrity;  

  • Strong writing skills and experience;  

  • Fluency in MS Office and G Suite,  

  • Confidence in learning new programs including HoneyBook and Klaviyo;  

  • Ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to established time frames, and adapt to evolving circumstances with support from the CEO/Founder;  

  • Confidence to take initiative and make informed choices proactively;  

  • Strong people skills, emotional intelligence, and ability to work well with others;  

  • Outstanding written and verbal communication skills;  

  • Creativity, resourcefulness, good judgment, and flexibility in their work;  

  • Ability to work both independently and collaboratively;  

  • Excellent organizational skills with a high accuracy and attention to detail;  

  • Someone with access to reliable computer and internet;  

  • U.S. citizenship or permanent residence who is able to legally work in the U.S.
